Deadlines:
2/16/2009 Company Description and Logo
  1. 50-100 word company description including the corporate address, contact's name, phone, email and website address.
  2. High-resolution vector logo (300 dpi or higher) saved in .eps format. To ensure the best quality for printing and to maintain uniformity of all printed materials, your corporate logo should be scaled to 120 X 90 pixels. NOTE: Logos submitted in .tif, .gif or .jpg will not be accepted. For acceptable formats, please refer to Freeman's graphics guidelines.
2/20/2009 Conference Manual Ads
Please refer to your sponsorship agreement for eligibility. If eligible, your ad should be submitted as a high-resolution PDF file, print-ready (all crop marks removed) and scaled to the following specifications: 8.5" x 11" with a 1/4" bleed in margins. E-mail the ad to Derinda Crawford or save it to a CD-ROM and overnight it to Derinda's attention at: One State Street Plaza, 27th Fl., New York, NY 10004.
2/23/2009 Staff Registration forms due
Our registration system does not allow multiple registrations at once. You must register each staff member individually.
2/18/2009 Freeman warehouse shipping begins
Onsite orders are marked up an additional 30%. Material received after March 4 will incur an after deadline charge.
2/25/2009 Freeman Discount Price Deadline
3/10/2009 Freeman warehouse shipping ends

Exhibitor Staff Registration

To register your staff attending the conference, complete the online Staff Registration Form below. Please refer to your sponsorship agreement for the number of complimentary staff passes allotted to your company. Each staff registration that exceeds the comp allotment will be charged the $895 exhibitor/sponsor upgrade rate. Register all staff members by February 23.

PLEASE NOTE: When you are entering in the registration information you will have to create a new login for each staff member. When they ask you to log in DO NOT enter in your information if you are not going, enter in the information of the staff member who will be attending the conference. Unfortunately the system won't allow multiple registrations so you will have to log on again to enter another staff member.

Hotel Accommodations

Be sure to book your hotel room now! SourceMedia has reserved a block of rooms at the Hyatt Grand Cypress at a special discounted rate of $250 (excluding taxes and resort fee). To secure a room, contact the hotel's group housing department directly at (407) 239-1234 and request a room in the SourceMedia/NCCR room block. Rooms are available on a first come, first served basis. The cut-off date to receive the discounted group rate is February 16 . After this date, rooms and rates will be based on availability.

Freeman will accept crated, boxed, or skidded materials beginning Wednesday, February 18 at the above address. To avoid "AFTER DEADLINE" charges, materials must arrive by Wednesday, March 4. Late charges will apply to shipments arriving after this date.

Do NOT ship advance freight directly to the Hyatt Grand Cypress. The resort has limited storage facilities and freight may be returned to the sender. Any charges incurred for early freight accepted by the resort will be the responsibility of the sender. Freeman will accept DIRECT freight shipments for the exhibit hall at the hotel beginning on Wednesday, March 11 only. If you anticipate a delay in shipping your materials to Freeman's warehouse and need to ship them directly to the conference facility, contact Derinda Crawford for further instruction.
